Construction - Creating Ongoing Applications

This guide is for SDL Desktop users in the Construction module who need to set up tracking for recurring equipment (backflow preventers, elevators, pools, refrigeration systems, etc.). Follow these steps when you want to create a new Ongoing Application, link it to a property, assign an application type and tracking number, and record item details — so the device can be managed and inspected going forward.

1. On-Going Application allows you to track recurring inspections or tasks  for items such as backflow preventers, elevators, swimming pools, refrigeration systems, etc. 

2. To create an Ongoing Application, make sure you are in the Construction module

3. And  the Construction Data Grid Section. 

4. Click the OnGoing Application data grid.

5. Click New to create a new application.

6. Choose  Open a Blank Ongoing Application Form 

7. or Choose a template if you have created one. 

8. If you would like to create a template for future use, simply click on the Copy icon on the top right hand side.  This will save the application information as a guide for future entries. 

9. To link your application to an Location, use the map function to find the property.  Enter Block,Lot,Qualifier and click the Link button, or use the Search button to find the parcel. 

10. Choose the search method depending on the location information you have. 

11. Type in the location information and click the Search button.

12. Select the correct location from the search results. 

13. Click OK to populate the parcel data into your application. 

14. Click YES to update the owner information with the parcel data.

15. Click Yes again to update the work site location information. 

16. Click OK to verify the information.

17. Review the Owner Section and update as needed. If necessary, use the "Worksite is same"  link to populate the Work Site Section with the owners address.

18. Click Yes to confirm any changes. 

19. Review the Work Site Section and Applicant, Contact Information.  You can use the Applicant is Owner to complete the Applicant/Contact Information or enter the information manually. 

20. Click Yes to Confirm the location information update. 

21. Next: click on the Details tab

22. Choose the Application type from the drop down. 

23. If you do not see the Application type you need, you can add it using the plus button. 

24. Once you select the Application type, the Application Type Information will populate.  Review the information and use the edit button to make additions or corrections. 

25. Click ’Get Next Tracking Number’.  This will lock in the application type and populate the registration and test fee fields.

26. Click YES to lock in the tracking information.  You will not be able to change the Application type once you assign a tracking number.

27. Enter the Last Certificate Expiration date.

28. Next, Click on the Item Data tab

29. Make sure to enter an Item Type and Item Location.

30. This will help define this device in case multiple items exist on a single property. Enter any other item details and click ok when complete. 

31. You have now added the ongoing application for the item.  The remaining tabs will be used to manage the device.  

32. The device application can be accessed from the ongoing application tab.

33. If there are more than one items to be added you can create an ongoing location to manage all devices linked to a property location.
