User Defined Reports

During this quarter, we started adding User Defined Reports to Code Enforcement and Land Use. With this last update, we also added these reports to Complaints, Projects, Escrow, COAH and OPRA. This should greatly increase your options for reporting in SDL Desktop by creating your own letters and notices with your own header. This works much like the Datagrid Mail Merge, but please note the tags will be different

COAH
Continuing the push to update our COAH Form, we have added several new items with this release. A new Calculation type, based on the Equalized value, is now available. If you have additional fees, or want to use the COAH Form for tracking other fees in a project, we've also added a Multi Fees option. Notes have been converted to Rolling Notes and an Attachments Control has been added. A new status drop down menu will allow users to better organize COAH Fees. These status types can be updated in the Options menu. 
Users may recall that last update we included a link to Construction Permits. When linked, this will stop the Certificate from being issued until you have a zero balance on the COAH Application. We consider this the best way to make sure all payments are made on a project.
A new Permission was also requested to allow users to add a COAH payment, but not be able to change the fee. Users will need CanManageCOAHFees to edit information on a COAH Form. Users will need CanManageCOAHPayments to add/edit/delete payments on the COAH Form. You will still need CanEditCOAHFees to be able to open the COAH Form.
 
OPRA Response Page
Earlier this year, we added a Portal Response Page that will allow the applicant to go onto the SDL Portal and review the returned documents for their OPRA Requests.  By marking OPRA Attachments as Public, they will sync up and display on this Portal page, rather than requiring users email large files. Users are prompted to mark attachments as Public when they mark an OPRA request as Complete. We Recommend you turn on the option to include the link to the Portal Response Page in the email. Please note, we also have a separate option on the portal that will allow Anonymous users to see OPRA response pages.
 
 
OPRA Assignment 
This update also includes a new permission, CanPublishOPRAAssignment, which will prompt the assignment user to mark their attachments as public. Although we don't recommend wide use of this setting, since the Request Custodian is ultimately responsible for a completed OPRA, we do feel it could speed up the OPRA response process. Using the Portal Response page also facilitates OPRA responses getting to the applicant in a more timely manner. 
Please note, a future portal release will be needed to allow the Assignment Attachments to be viewed on the page. For now, you will need to continue moving assignment attachments to the application.
 
OPRA Valid Custodians 
We've made a few additional changes to help speed up form load times on the OPRA Application and the OPRA Assignment. In addition, we recommend you give CanNotBeAssignedOPRAApp and CanNotBeAssignedOPRAAssign permissions to all users who should not be listed on these OPRA forms.
 
Complaints by Address
This update also included the addition of new filter options on the Complaints Report Manager. This will allow you to search for complaints by Block, Lot, or address. For those ORPA requests based on addresses, this should help users quickly respond to the request. Note, the same options were added to Code Enforcement Inspections and Violations Logs.
 
Mass Scheduling Rental Unit Inspections

Many towns actively inspect all of their Rental Units yearly, bi-annually or do the 5 Year inspection for the state.  This update includes a way to add a Certificate with an Inspection for all units on a property or multiple properties from the property data grid.  On the Property Units Tab, you will see a new button called "Schedule Insps". 

We know many towns have several properties with multiple buildings and dozens to hundreds of units.   Mass Scheduling these inspections allow your inspectors to have a separate inspection per unit in case certain units fail while others pass and will allow you to follow the normal process of reinspections/violations for each unit.

There are several options for this form with the ultimate goal of adding a certificate on each unit with an inspection on the date that was selected in the settings.  

Notes:

  • You do have the ability to exclude units with a valid certificate. If you do not need to do an inspection because of a change in tenancy, the "Exclude Units with a valid Certificate" option can be used.
  • Generally, this inspection is paid for by the yearly Property Registration Fee, but let us know if you need an option to add fees per certificate.
