OPRA Copy Attachment

In some cases, multiple OPRA Requests come in for the same data. We have added a way to allow you to copy attachments from one request to another.  

Enter request number in the top for From and To and click Load. Select which attachments on the From record and click Copy Selected to.

OPRA SDL Portal Address Link

During OPRA sessions at League this year, we were made aware that if information is available on a public website. You are now allowed to simply provide the link and any login directions to the requestor to fulfill a request. In SDL’s case a lot of requested information resides on our Portal Property Info Pane pages. When a request is linked to property we have added an option to prompt the user if they want to add an HTML link to their response emails. An option was also added so you can add additional verbiage around this link. You should review with your attorney that this is allowed before turning on.

Lead Safe Certification

We have added an option so you can add the DCA address to the lead options. This will then print on the Monthly report and will fit in a windowed envelope.

Online Permit Fees

New fee defaults and permit additional fees have been added. You can now add an online application fee and online Plan review fee to new permits. The Plan review fee can also be set to use the state fee calculation of $1 per $1000 of work.

Expedited Permits

A new state law allows for contractors to hire third party inspectors to finish a project if the department is unable to do so in a timely manner. We have added an Is Expedited tag and date to the inspections tab to mark permits as needed. Currently this tag is just a label, future updates will change this to not require FINAL inspections for this permit. Note existing refund permissions will be needed to modify payments when refunds are given for expedited permits.

Health Pro Renewals

This update we have added functionality to create Invoices in the Health Pro Module. This works off creating an unissued license record. As payments come in you would issue the records. The Food and General Applications have been updated. You can now create invoice, print, update in bulk from the Application and license datagrids.
 
Options
The Food and General types editors have new fields to fill in the labels on the Invoice report
 
 
Note the new Use Select button on the manager. This will update all types based on the one you have selected. You should update your wording on one type then use this button to update all other types.
License
The License has been updated to include Invoice Number, Due Date, and Credit Card Link fields. The Invoice Report can be accessed from the new Invoice button.
 
 
Invoice Report
Note Seat Count, Units, Sq. Ft. etc., is not shown on the General invoice as we don't track that information on the general application. CC Link can only be shown for towns using Municipay
 
 
Food/General Application Data Grid Options
The update includes new datagrid options forms to help you manage your Data in bulk. You can access this form by selecting more than one record on the datagrid and clicking the Edit button. Create Invoice will create new Un-Issued License records based on the settings. Print Invoice will print the most recent License record
 
 
Note the drop down, this will enable you to add a label to the top of the invoice report. Meant for late notices, you can type any value that you would want.
 
Food/General License Data Grid Options
Access is the same as the application DGC, more the one record must be selected. Print Invoice will print the selected record. Add Fee will let you add additional multi fees to each record. Reset Fee will Reset the fee based on the associated Application
 
Renewal Process
First thing you should do is verify the wording you want on the invoice in the types managers. Use the Applications datagrid to select the records you want to send renewals to. You may want to create a filter to show Active business or businesses of a certain type. Once selected click Edit and select the Create invoice radial. Enter in a due date and mark if you want to include the option to pay by credit card online. Click Run. If you are ready to print the invoices you can select the Print invoices radial and click run again. If you would like to print the invoices at a later date use the License datagrid option to select the records and print from the licenses DGC options.
 
Late Notice/Late Fee
After some set time you may want to send reminder notices or add a late fee to unpaid invoices. Using the Licenses datagrid sort or filter the unpaid records. You can do this by either looking for no issue date or looking for records with a balance. Select the records and click Edit. If you want to add a late fee. Select the Add Fee radial option and click Run. This will bring up the Multi Fee Chooser. Select a template to add, the blue folder on the right will allow you to create new multi fee templates. The system will then add this multi fee to all selected records. You can then click the Print Invoice option and click Run again. You can add a Notice label from the drop down if you would like.

Pet Renewals

We have updated how users can manage and print their renewals. Under Tasks is a Pet Renewals Option. This new form should give you quick access to settings, report options, and doing a preview before your bulk printing or emails are sent.

Use the pet settings to go into the selected animal types options. This is needed each year to update your renewal conditions text. You should also update your rabies expiration deadline and license expiration date.
The radials for Renewal/Alternative/2018 will decide which report option to use. By default it will be set to the options settings. We fee the 2018 option is the best but feel free to try each
Based on the license expiration date in the pet settings the Load pets will fill in your list of pets needing renewal.
 
 
We recommend you review the pets listed, specifically ones at the bottom of the list. The past due day count will tell you the number of days since this pet got a license. You may want to deactivate pets over a certain number of days. Check off the pets you want and click deactivate to remove from your renewal list
 
We recommend you use the Invert Checks on the bottom left, and recheck a few pets to preview the renewal reports. Select Print Preview and Create Report, verify the format, conditions, and fees on the previews. Once ready you can check all to mark which pets to include, uncheck print preview and click Create report again. Creating the report and printing will still take time as it creates each report or using the all on one option. We recommend using the 2018 option with the Print All in one. Once the report is ready export to a pdf so you have a copy to reference
